Organising a work trip out of Totland with both colleagues and bulky kit requires balancing cab space against cargo capacity. When a job calls for transporting staff alongside tools, sorting through your operational details first helps you secure a vehicle that handles the entire run smoothly.
Decide on driving duties and cab seating
Identify who will drive and how many passengers need transit. If your team travels together, ask how many designated cab seats the vehicle offers. You should also confirm driver age and licence requirements with the provider beforehand, ensuring everyone expected to take the wheel is properly qualified.
Catalogue tools and materials honestly
Weighing down a flatbed or box van with equipment leaves little margin for guesswork. Note the dimensions and approximate weight of machinery, tool chests, and materials. Ask whether vehicles include tie-down anchor points or tail lifts, and check that the combined weight of crew and cargo stays well within payload thresholds.
Align hire periods with the working day
Base your schedule on practical working hours rather than best-case scenarios. Clarify collection times, grace periods for delayed returns, and out-of-hours drop-off arrangements. Because vehicle availability can vary depending on local demand, settling your dates early prevents last-minute compromises on site.
Package your requirements into a single enquiry
Summarise your passenger numbers, cargo measurements, mileage expectations, and driver details into one initial message. Setting this out clearly spares you repeated clarification calls. Ask the provider directly about fuel terms and collection processes so every practical question is resolved upfront.
